Who we are

Maybe Later Ltd is an email marketing consultancy registered in England and Wales. We work primarily with charities and purpose-driven organisations, helping them build better email programmes.

For the purposes of data protection law, Maybe Later Ltd is the data controller for the personal data described in this policy.

What information we collect

We collect information in a few ways:

When you contact us directly. If you email us, fill in a contact form, or get in touch via LinkedIn or another platform, we'll have your name, email address, and whatever you've chosen to tell us.

When we work with you as a client. We'll hold relevant business contact details, project notes, and any information you share with us in the course of the engagement.

When you sign up to our mailing list. We'll hold your name and email address, along with any preferences you've indicated.

When you visit our website. We may collect basic analytics data, such as the pages you visit and your approximate location, depending on the tools we use. We don't use cookies that track you across other websites.

How we use your information

We use the information we hold to:

  • respond to your enquiries and provide our services

  • send you emails you've asked to receive, including our newsletter and any resources you've requested

  • keep records of client work and communications

  • meet our legal and accounting obligations

  • improve how we work and what we offer

We don't sell your data to anyone, and we don't use it for automated decision-making.

Our lawful basis for using your data

We're based in the UK and process personal data under the UK GDPR and the Data Protection Act 2018. The lawful basis we rely on depends on the situation:

  • Contract — where we need to process your data to deliver the services you've engaged us for.

  • Consent — where you've signed up to our mailing list or asked to receive specific resources. You can withdraw this at any time.

  • Legitimate interests — where we use your data to respond to enquiries, run our business, and keep appropriate records, in a way you'd reasonably expect and that doesn't override your rights.

Who we share your data with

We use a small number of trusted third-party tools to run the business, and some of your data may be processed by them on our behalf. These include:

  • Mailchimp: our email marketing platform, used to manage our mailing list and send emails.

  • BrevoForms: our online form provider we use for contracts

  • Trello: our project management software 

  • Xero: our accounting software

Each of these providers acts as a data processor and is bound by their own data protection obligations. We only share what's necessary, and we don't pass your data to anyone else unless we're legally required to.

Some of these tools may store or process data outside the UK. Where that happens, we rely on the safeguards those providers have in place to protect your information.

Cookies and analytics

Our website may use cookies or similar technologies to help it work properly and to give us basic, anonymised information about how the site is used. We don't use advertising cookies or anything that tracks you across other websites. You can control or block cookies through your browser settings at any time.

How long we keep your data

We keep personal data only for as long as we need it:

  • Enquiries — we keep these for a reasonable period in case you get back in touch, then delete them.

  • Client records — we hold these for the duration of the engagement and for a period afterwards to meet our legal, tax, and accounting obligations (usually up to six years).

  • Mailing list — we keep your details until you unsubscribe or ask us to remove you.

Your rights

Under UK data protection law, you have the right to:

  • ask for a copy of the personal data we hold about you

  • ask us to correct anything that's inaccurate

  • ask us to delete your data, where there's no good reason for us to keep it

  • object to or restrict how we use your data

  • withdraw your consent at any time, where we're relying on it

  • ask us to transfer your data to another provider, where applicable

Complaints

If you're unhappy with how we've handled your data, we'd like the chance to put it right, so please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.
